GROUP BOOKING TERMS & CONDITIONS

INITIAL DEPOSIT

An initial non-refundable deposit of $500 is due at time of booking to reserve any of our Escorted Tours by Private Bus and to secure the Tour Director for your group. This initial deposit will be credited to your final payment.

PAYMENT CONDITIONS

Deposit checks of $500 per person (plus travel insurance protection premium if contracted) are due within 12 weeks (3 months) of making the reservation. Balance of payment is due 100 days prior to departure along with the final name list showing traveler dates of birth, city, state, and zip code. Names should be provided exactly as shown on passports to avoid airline- imposed reissue fees.  Payments are due by check only.

ACCOUNTING TRANSPARENCY
Every time we receive a payment from you, an updated invoice is generated and emailed to you immediately so you can follow your group accounting progress.

FINAL DOCUMENTS
Electronic Tickets & Land Services vouchers will be e-mailed to you 30 days prior to departure.

CANCELLATION FEES PER PERSON
120 days or more prior to departure: $500
119-89 days prior to departure: $700
90 days prior to departure: We are sorry but NO REFUND is applicable due to strict cancellation fees from airlines and hotels.

NAMES & COPIES OF PASSPORTS
Passenger names and copies of passports need to be provided 100 days prior to departure

NAME CHANGES

Name changes are permitted if made more than 125 days prior to departure. 124-100 days prior to departure, the fee is $150. No name changes are accepted within 99 days of departure. 

FREES
To qualify for Free, passengers must travel together with the group on the same dates and flights. Airport taxes for frees apply (between $160 to $175). Deviators booking their own air do not count towards the group total for free purposes. 
 

CURRENCY
Currency fluctuation surcharges may apply until trip is paid in full.

TRAVEL PROTECTION INSURANCE

Our Group Travel Insurance Premium is due along with customer deposits. City, Zip, and State info are needed for each traveler. Insurance premium is non-refundable.

AIRPORT OF DEPARTURE
Every group participant must leave and return to the same airport as the rest of the group. Travelers desiring to depart from a different airport, or use mileage, are on their own to make their flight arrangements directly with the airlines. In these cases, we will be glad to give them an air allowance, which may be subtracted from the total package price. Please note that we do not book or issue domestic tickets nor offer business class upgrades. 

 SEAT ASSIGNMENTS
Airlines do not pre-assign individual seating for group bookings. They block a section of the plane and seats are only assigned upon airport check-in. We recommend travelers to be at the airport at least 3 hours before departure for best chance of obtaining desired seats.  

REPORTS
We welcome and encourage the Tour Leaders to email us frequent reports about the services travelers are receiving during the tou,r such as hotels, dinners, tours, guides etc. so we can immediately resolve any unexpected issues. Thank you.
